Five screensProfit, not takings

THE NUMBERS THAT DECIDE WHAT YOU DO TOMORROW

Your café already generates every figure on this page · it just never gets to see them. Sessions, tabs, invoices, memberships, events and expenses land in one ledger, and Analytics reads it back as profit after costs, income by stream, the hours that pay and a month you can hand to an accountant.

Section by section

NINE ANSWERS, ONE LEDGER

Not a mock-up and not a video. Every chart below is the console's own, running here · change the window and the six that follow it recalculate, toggle the heatmap between people and money, drag across the daily bars. Nothing is behind a click.

The café is invented · fourteen months of a small Indian gaming café, generated so that Mondays are quiet, Saturdays are full and rent lands whatever the week did. No real café's takings, members or costs appear on this page.

The headline

How is the shop doing

The question you open the section with, before picking a chart

Collected, bills raised, average bill and days traded on one surface. Under them, income against costs with the margin worked out, and the figure most owners have never seen written down: what the café has to take in a day just to cover its month.

  • check_circleProfit and margin for whatever window you pick, not just this month
  • check_circleBreak-even a day, from your real rent, salaries and bills
  • check_circleUnpaid bills folded in, because a balance is not a flow
  • check_circleBest day and the change on the period immediately before

What changesYou find out whether Tuesday is worth opening for, in a figure rather than a feeling.

By machine

Which rig is actually earning

Where the floor pays for itself, and where it does not

One spoke per system you operate, sized by what it took in the window. Systems that earned nothing keep their axis on purpose · a spoke collapsed to the middle is the most useful shape this chart draws, and it is the one a table of only the earners would have hidden.

  • check_circleEvery system you run, not only the ones that took money
  • check_circleRanked beside the shape, with rupees and share of takings

By kind

Where the money comes from

Which stream is carrying the month, and which is flattering you

Playtime, food and drinks, memberships and events as one ring with the rupees printed beside each. It answers the question the radar cannot: not which machine, but what kind of business you are actually running.

  • check_circleFour real streams, never an “other” bucket
  • check_circleFigures printed next to the shape rather than hidden in a tooltip
  • check_circleShares that add to 100, because a chart totalling 99 costs trust
  • check_circleThe same four inks on every chart in the section

What changesYou learn that memberships are a fifth of your income, and start treating renewals like the revenue they are.

Revenue against expenses, with profit between

Is the café getting better, or just busier

Three lines on one pair of axes. Revenue wears the ledger’s green, expenses its red, profit is blue · and profit is the only line that answers the question, because a café can take more every month and keep less.

  • check_circleRevenue, expenses and profit together, never revenue alone

Day by day

Every day, split by stream

What a single day was actually made of

One stacked bar per day in the window. Underneath, each stream carries its total, its share and its own sparkline · so a stream that is quietly shrinking shows up as a shape rather than as a number you would have had to remember.

  • check_circleSessions, memberships, add-ons and events stacked per day
  • check_circleDrag across the chart to read any single day’s four figures
  • check_circleA sparkline each, so a slow decline is visible before it is costly
  • check_circleThe same rows export to Excel exactly as they stand

What changesYou spot the Saturday that took triple, look at what ran that night, and put it in the calendar again.

The audit trail

Who did what, at the counter

The one that matters when a figure looks wrong

Every session, tab and bill your staff touched, newest first, stamped with a name and the time on the shop clock. It is an audit trail rather than analysis, which is why it is on every plan: a number you cannot trace is a number you cannot act on.

  • check_circleSessions started and ended, with the station and the member

  • check_circleVoids with the reason typed at the time, never deleted

How it stays honest

A BLOCK HAS TO EARN ITS PLACE

No costs, no profit

A café three days old has no trend, and a café that has logged nothing under Expenses has no profit. Those blocks say what they are waiting for instead of printing a confident wrong number · and the Overview carries a chip saying how many of the months in view actually have costs in them, so a flattered margin cannot be repeated to a lender by accident.

One ledger, to the paisa

Every figure traces to a row your counter wrote · a session, a tab, an invoice, a top-up, an entry fee, a logged cost. Amounts are whole paise, the ledger is append-only, and a voided bill keeps its row and its reason rather than vanishing out of a total nobody thought to re-check.

What the tier holds

Overview, Revenue Trends and the Activity Log are on every plan, trial included. Profit & Loss and the Traffic heatmap are part of full analytics on Pro · and a locked screen still shows in the strip with a lock, because a tab that silently disappears teaches a café nothing.

Why it matters

SIX DECISIONS IT MAKES EASIER

A report you look at and close has cost you time. These are the calls a café owner makes every month anyway · the difference is making them from the floor's own numbers rather than from a feeling about last Saturday.

schedule

When to run the happy hour

The heatmap names the dead stretch on each weekday. Discounting the hour you were already full is the most common way a café gives away margin for nothing.

groups

How many people to roster

Traffic by hour and weekday is a staffing rota with the guesswork taken out. Two on the counter at eight on a Saturday, one at two on a Wednesday.

price_change

What to charge, and for which rig

Hours against revenue per system shows the machine that is busy and cheap and the one that is idle and dear. Both are pricing problems, and they are opposite ones.

inventory_2

What to keep in the fridge

Best sellers by quantity and by revenue · the item that moves and the item that earns are rarely the same one, and the shelf should carry both.

card_membership

Whether the plans are working

The subscription mix against what it is worth, plus what renews in the next thirty days · so a churn problem shows up before the month it lands in.

savings

Whether to open at all on a Monday

Break-even a day against what Monday actually takes. Some cafés find that the answer is no, and that closing one day pays for itself twice over.

Taking it out

A report you can hand to someone

A report that lives only on your screen is a private hunch. The Profit & Loss screen exports in a tap · a clean month as a PDF for your accountant or a lender, the same figures as a spreadsheet for your own analysis. The numbers hold up to a second look because they are the counter's own, and your data leaves cleanly whenever you want it to.

  • check_circlePDF of any month, laid out to be printed and read
  • check_circleExcel-ready CSV of the same month, nothing summarised away
  • check_circleGST handled at your rate, with your GSTIN on the invoices behind it
  • check_circleNo lock-in · the export is the whole month, not a teaser

Questions

ASKED BEFORE THE FIRST MONTH CLOSES

Does Respawna show profit, or only sales?expand_more

Profit, once you have logged what the floor costs to run. The Overview leads with income against costs, the margin between them and the break-even figure your café has to clear in a day to cover its month. Until costs are entered under Expenses, the profit block does not print a flattering number · it says what it is waiting for and links you to the screen that fixes it. A report that shows takings and calls it profit is telling you half the story on purpose.

What date ranges can I report on?expand_more

Six presets · 7 days, 30 days, 90 days, this month, last month and all time back to your café's first trading day · plus any custom window you pick. Every figure, chart and heatmap on the Overview, Revenue Trends and Traffic screens follows that one picker, so a festival week against a normal one is one click rather than an export and a spreadsheet.

Can I see which hours my café is busiest?expand_more

Yes. The Traffic screen draws an hour-by-weekday heatmap of the whole window, with a toggle between how many sessions ran and how much was taken · those are different maps, and the difference is where your pricing is wrong. It also lists the quietest open hour on each day of the week, which is the list an off-peak offer is built from.

Can I export the reports?expand_more

Yes, to PDF and Excel in one tap from the Profit & Loss screen. Take the PDF to your accountant or a lender and the spreadsheet to your own analysis. There is no lock-in · your data leaves cleanly, in formats anyone can open.

Is analytics included on every plan?expand_more

The Overview, Revenue Trends and the Activity Log are on every plan, trial included. The Profit & Loss screen and the Traffic heatmap are part of full analytics on Pro. Locked screens still appear in the tab strip with a lock on them, so you can see what the tier holds rather than finding out later that a tab quietly does not exist.

Where do the numbers come from?expand_more

From your own counter. Sessions, tabs, invoices, memberships, wallet movements, event entry fees and the expenses you log all write to one ledger, and analytics reads it back · nothing is typed in twice and nothing is estimated. Amounts are held to the paisa, the ledger is append-only, and a voided bill keeps its row and its reason rather than disappearing from a total.

How current are the figures?expand_more

Live. A bill paid at the counter is in the day's takings before the customer has left, and the day's bar on the revenue chart moves with it. There is no nightly batch and nothing to close off · the reason a heavy café stays fast is that the sums are done in the database rather than pulled through the browser.

What does it cost?expand_more

Plans start at ₹299 a month, and every plan begins with a 14-day free trial, no card. When the trial ends you either pay to carry on or stop · nothing renews by itself, because we hold no card. Current plans and prices are on the pricing page.

SEE YOUR OWN NUMBERS

Run a week of sessions through the counter and these screens fill themselves. Log a month of costs and the profit figure becomes real. Every plan starts with a free trial, and analytics is not the part we hold back.
