Time billed fairly

Internet café billing software for open-ended time

Sessions that run until the customer is done, rounding and grace periods you control, prepaid balances that reconcile, and a GST receipt at the end of every visit.

hourglass_top

Open-ended sessions

Nobody knows how long they need. Start a session with no fixed duration and bill on the time actually used when they get up.

rule

Rounding you decide

Time used rounds up to the next priced block, and you set a grace period so a customer four minutes over is not charged for another whole one.

stairs

Blocks, not a flat rate

Fifteen minutes, half an hour, an hour, each with its own price. Long sessions can earn bonus minutes automatically.

account_balance_wallet

Prepaid balances

Regulars top up once and draw down across visits. Every top-up and spend is an append-only entry, so the balance is always explainable.

receipt_long

A receipt they can keep

Every session ends in an itemised, GST-ready invoice you can print or share to WhatsApp in a tap.

payments

Cash and UPI reconciled

The payment method is recorded against each bill, so the total at close matches the drawer and the phone.

The awkward part of billing time

Selling a fixed hour is easy. The hard case is the customer who sits down without knowing whether they need ten minutes or ninety, which in an internet café is most of them. That is what an open-ended session is for: the clock runs, the cost accrues in view, and the bill is calculated on the time actually used. The two settings that decide whether customers feel fairly treated are rounding and grace, and both are yours to set rather than assumptions baked into the software.

Grace periods stop small arguments

A customer who runs four minutes past the half hour has not really used another block, and charging them for one is how you lose a regular over eight rupees. Set a grace period and anything inside it pulls back to the previous rung. It is a small mechanic that removes a recurring conversation at the counter, and it costs you very little across a month.

Prepaid balances for people who come back

Regulars would rather top up once than settle every visit, and you would rather hold the money than chase it. A prepaid balance handles both. In RESPAWNA those balances are an append-only ledger in whole paise rather than a number that gets edited, so a balance can always be explained, a refund appears as a reversal, and the month's accounts reconcile without anyone reconstructing what happened.

Frequently asked questions

Can customers start without a fixed duration?expand_more

Yes. Open-ended sessions run until staff end them and bill on the time actually used, rounded up to the next priced block with any grace period you have set.

How does rounding work?expand_more

Time used rounds up to the next rung on your price ladder. A grace period pulls a session just over a boundary back to the previous rung, so a customer a few minutes over is not charged for a whole extra block.

Can regulars keep a prepaid balance?expand_more

Yes. Customers can top up and spend the balance across visits. Every top-up and spend is an append-only ledger entry in whole paise, so balances always reconcile.

Do customers get a receipt?expand_more

Yes. Every session produces an itemised, GST-ready invoice that you can print or share to their WhatsApp in one tap.

Does it control or lock the computers?expand_more

No. RESPAWNA runs in a browser at the counter and installs nothing on the machines, so it cannot lock or unlock a PC. Staff start and end sessions from the counter.
